Important Documents

Complete all documents in English only. Please note that documents that are incomplete and not in English will not be accepted. In the event of any changes to team members or drivers, please sign new forms, as required.

1. University letter of endorsement of the team’s participation with a full list of names of ALL OFFICIAL MEMBERS. This includes teachers/faculty advisors. Details including birth date, age and faculty are required.
2. Scanned passports, student IDs and/or staff ID of team members and teacher in charge listed in the university endorsement letter. Images to be sent only in JPG/PDF format.
3. Teams and relevant members must sign the following forms:

• Agreement to Abide to the Rules and Regulations Form
  (For all team managers and drivers)
• Shell Eco-marathon Release Waiver Form
  (For each official team member. Please submit individually signed copies)
• Sepang International Circuit Indemnity Form
  (For all drivers. One form per person)
• Telegraphic Transfer Form
  (One form per team)

On the event registration day (16:00 – 19:00hrs on 3 July 2013 and 09:00 – 15:00 hrs on 4 July 2013):

• All teams members must be present at Sepang International Circuit for check in/registration.
• Only the team manager, along with two other members, can register on behalf of the team.
• Security tags will be given to only team members who are present during registration. Other members will be given their security tags when they arrive.

Upon arrival at the counter, the team manager will have to provide the following:

• Passports of all team members
• Original student IDs and staff ID of teacher advisor
• Original copy of university endorsement letter with updated list of team members and their details

Sponsorship Letter

Besides designing and building your vehicle, you will also need to secure funding and financial support from sponsors and third parties, in order to fully execute your team’s plans. Start by making a list of potential organisations that your team may approach for sponsorship and support. Ensure you know what your team needs before approaching an organisation. We have a letter template to help you in your preparations. You may customise the letter as appropriate to your project and according to the sponsor’s interest.

Guidelines for artwork

The Shell logo (Pecten) and Shell Eco-marathon Asia branding are Shell’s trademarks. When creating Shell Eco-marathon communication materials and producing merchandise for your team such as posters, t-shirts, jackets, etc., please ensure that the logo and branding are correctly represented. To help you with this, please refer to the Shell Eco-marathon 2013 Activation Guide below. On-site materials that are not in line with the guidelines may be removed by the organising committee.
